The All Souls Historical Society Charter

As amended at the ASHS Annual Meeting, 2023

The purpose of The Historical Society of the Unitarian Church of All Souls is to stimulate research into the history of The Unitarian Church of All Souls and its members, and to collect and preserve records and artifacts related to that history.

 

I.       Meetings

 

The Annual Meeting of The Historical Society shall be held in the fourth quarter of the year on a date set by the President.  The Annual Meeting shall hear a report from the President and each Committee.  Reports shall include budget requests for the next year. 

 

At the annual meetings in odd-numbered years, a President and a Treasurer shall be elected for terms of two years.  On even-numbered years, a Vice President and a Secretary shall be elected.

 

II.      Committees

 

A. The Art and Artifacts Committee will preserve and collect the archival records, art and artifacts of All Souls.  It shall prepare displays of historic material and formulate standards and procedures for archival storage, preservation and research.

 

B. The Website Committee will maintain the website of the All Souls Historical Society.

 

C. The Bellows Lecture Committee will select a speaker and make all necessary arrangements for the annual Bellows Lecture.

 

D. The Oral History Committee will select members of the congregation, ministers and staff members to make recordings of their histories with the Church and/or their involvement in specific activities or historical moments in the Church history. 

 

III.     Officers 

 

A. The President will conduct the Annual Meeting and represent the Historical Society.  The President may also appoint another member to represent the Society.  The President will appoint members to serve on Committees.

 

B. The Vice President will, if the President is absent or unavailable, perform the 

duties of the President.

 

C. The Secretary will record the minutes of Annual and Executive Committee 

meetings, give notice of meetings, and arrange for such other communications 

with the members as the President or Executive Committee may direct.

 

D. The Treasurer will be responsible for the financial records and funds of the 

Historical Society and shall maintain an accurate membership list.

 

E. An Executive Committee composed of the President, Vice President, Secretary, Treasurer, and the Chairpersons of the Committees shall conduct the business of the Society between Annual Meetings.  In the event that an officer (or committee chairperson) ceases to serve, the Executive Committee shall appoint a replacement to serve until the next annual meeting.

 

IV.     Membership

 

Membership is open to any person.  A member may choose an area of interest and all reasonable effort will be made to include the member in the activities of the appropriate committee.

 

V.      Dues and Finances

 

Dues  Annual dues will be $20 per year; $100 for Life Membership.

 

Finances  The Society shall present to the Board of Trustees of the Church budgetary recommendations each year which outline those expenditures deemed necessary or desirable and with the prior approval of the Board of Trustees, may undertake fund raising activities.

 

VI.    Nominating Committee

 

The  President shall appoint a Nominating Committee, a majority of which shall not be members of the Executive Committee.

 

VII.    Amendments

 

Changes in this Charter may be made by a majority of the members present at the Annual Meeting, if the membership has been notified in writing of the proposed changes and if the Board of Trustees of the Church does not object to the changes.
